# Working with Project Management (Veeva Claims)

<a href="/en/gr/54331/">Veeva Claims</a>
 provides Brand Managers the ability to initiate a project and group claims pertaining to a particular initiative in this project so that as a key R&D, regulatory, or legal stakeholder, you can track and work on the related claims as a group. From a project, users can generate multiple _Claim_ records and multiple local adaptations. Before finalizing a project, you can review and remove any irrelevant statements, claims, and local adaptations.

Brand Managers in the consumer goods industry typically work on initiatives such as new product development, product line extensions, or packaging refresh initiatives. Proposing, substantiating, reviewing and approving product marketing <a href="/en/gr/54337/">claims</a>
 is a sub-activity of these initiatives.

Project Management includes the _Project Manager_ application role, who can be assigned to a project, and who receives email and Vault notifications about project assignment and reassignment.

Depending on your <a href="/en/gr/58796/">Admin's configuration</a>
, object, field, and section labels may appear differently than the labels mentioned in this article.

## Viewing Projects {#view}

You can access a list of all _Projects_ under the _Projects_ tab. To view an individual project's detail page, click on its _Name_. To view all claims in a _Project_, expand the _Claims_ section.

## Searching and Filtering {#search}

You can search for projects from the _Projects_ tab using the <a href="/en/gr/442/">search bar</a>
. The _Projects_ tab shows all projects by default. You can <a href="/en/gr/1616/">add filters</a>
 or create <a href="/en/gr/23830/">custom views</a>
 to limit the types of projects shown.

## Creating a Project {#create}

Projects are managed as object records within Vault. You can [create a new _Project_ record][2] or you can [clone an existing _Project_ record][3].

### Creating a New Project {#create-new}

To create a new _Project_:

1. From the **Projects** tab, click **Create**.
2. Enter a **Name**.
3. Optional: In the drop-down, select a **Project Type**.
4. Optional: Specify a **Project Manager**. This is the person who will manage the _Project_.
5. Optional: Enter a **Project Description**.
6. Optional: Select a **Due Date**.
7. Click **Save**, or to create another _Project_, click **Save + Create**.

You can also create a new _Project_ by <a href="/en/gr/32218/">copying</a>
 an existing _Project_ record. _Project_ records copied from another _Project_ include a read-only, non-editable field called _Copied From Project_. This field identifies the record from which the new _Project_ was generated.

### Cloning an Existing Project {#clone}

You can clone a _Project_ using the _Clone Project_ action. This action allows you to dynamically deep copy (or "clone") an existing _Project_ and selectively copy the related records from the existing _Project_ you want to reference in the new _Project_. When you clone a _Project_ record, Vault does the following:

* Copies the _Project_ record and includes "_Copy of [Project Name of cloned record]_" in the _Project Name_ of the new record.
* Creates new join records for the specified records you select such as _Claims_, _Local Adaptations_, _Locations_, _Products_, and _Statements_.
* Excludes any child records related to the existing _Project_, such as _Project Comments_.
* Depending on your Admin's configuration, Vault may not display records in particular lifecycle states.
* When configured by your Admin, some dependent records are automatically selected based on your selections. When records are automatically selected, you will see a **Record(s) automatically selected**  (<i class="fas fa-info-circle" style="color: #0a88c5;"></i>) icon in the applicable section header. You cannot unselect any automatically selected records without unselecting the record with dependencies.
  * Selecting a _Claim_ may automatically select the dependent _Statement_ and _Product_.
  * Selecting a _Local Adaptation_ may automatically select the dependent _Claim_ and _Location_.

_Project_ records cloned from another _Project_ include a read-only, non-editable field called _Copied From Project_. This field identifies the record from which the new _Project_ was generated.

#### How to Clone Projects {#how-to-clone}

To clone an existing _Project_ and selectively copy related records:

1. Navigate to the appropriate _Project_ record.
2. From the **All Actions** menu, click **Clone Project**.
3. Select the sections (groups of records) you want to clone to the new _Project_. Depending on your Admin's configuration, some sections may be auto-selected after you select the _Claim_ or _Local Adaptation_ sections.
4. Click **Clone Project**.
5. Review the groups of records available to copy to the new _Project_.
    * Click a section header to expand or collapse it.
    * <a href="/en/gr/44069/#list_page">Customize the displayed columns</a>
 to include fields you have permission to view.
    * Use the search bar to help find the records you want to add.
6. Select the records you want to add. 
    * Click the **plus** (<i class="fas fa-plus-circle" style="color: #0a88c5;"></i>) and **minus** (<i class="fas fa-minus-circle" style="color: #0a88c5;"></i>) icons to select and unselect all records on all of that section's pages.
    * If configured by your Admin, some records are automatically selected based on your selections. Open the sections with the **Record(s) automatically selected** (<i class="fas fa-info-circle" style="color: #0a88c5;"></i>) icon to review the automatically-selected records.
7. Click **Next**.
8. On the _Confirmation_ page, review your selected _Claims_ to copy into the new _Project_.
9. Click **Finish**.

As a best practice, ensure you modify the _Project Name_ of the new _Project_ record after cloning. To do this:

1. When notified, navigate to the newly-created _Project_ record.
2. Click **Edit**.
3. Modify the **Project Name** of the new record.
4. Click **Save**.

## Creating a Project Team {#teams}

You can create a team for each _Project_. To do this, add the applicable _Users_ to the _Project Team_ section of a _Project_ record.

## Populating a Project with Claims {#populating}

After you've created a _Project_, you can populate the _Project_ with _Claims_. See <a href="/en/gr/78533/">Populating a Project with Claims</a>

## Creating Local Adaptations from a Project {#la_project}

After you've created a _Project_, you can create _Local Adaptations_ from a _Project_. See <a href="/en/gr/78535/">Creating Local Adaptations from a Project</a>

## Using the Project Hierarchy Viewer {#viewer}

If configured by your Admin, you can use the _Project Hierarchy Viewer_ on _Project_ records. The viewer allows you to visualize and interact with a _Project's_ hierarchy so that you can review all related records within the context of a _Project_ to make an informed assessment.

## Adding & Replying to Comments {#comments}

When configured by your Admin, you can add comments to _Project_ records. If configured, you can also reply to comments in comment threads for certain object records. See <a href="/en/gr/520894/">Using Comments</a>

## Removing Statements & Related Records from a Project {#remove}

You can remove _Statements_, _Claims_, and _Local Adaptations_ from a _Project_ with the _Remove Statement and Related Records from Project_ action, allowing you to quickly clean up a project before finalizing it. When you run the action on a _Project_ record, Vault displays all related _Statements_, _Claims_, and _Local Adaptations_ in separate grid sections on the _Remove Statement and Related Records from Project_ page. In each section, you can click <i class="fas fa-plus-circle" style="color: #0a88c5;"></i>
 **Select all records on all page(s)** and  <i class="fas fa-minus-circle" style="color: #0a88c5;"></i>
 **Unselect all records on all page(s)** to quickly select and unselect all records in that section.

When removing specific _Statements_, you have the opportunity to select specific related _Claims_ and _Local Adaptations_ to remove as well. Alternatively, you can keep the _Statements_ but remove only selected _Claims_ and _Local Adaptations_ from a project.

### How to Remove Statements, Claims, & Local Adaptations {#how-to-remove}

To remove _Statements_, _Claims_, and _Local Adaptations_ from a _Project_:

1. Navigate to the applicable _Project_ record.
2. From the **All Actions** menu, select **Remove Statement and Related Records from Project**. Depending on your Admin's configuration, this action may only be available when the _Project_ is in specific lifecycle states.
3. On the _Remove Statement and Related Records from Project_ page, review the _Statements_ related to this project in the _Select Project Statements to remove_ section. In each section on this page, you can use the search bar to filter the list of related records.
4. In the _Select Project Statements to remove_ section, select the _Project Statements_ you want to remove.
5. Optional: Select the **Remove Statements** checkbox to remove all _Project Statements_ you select or clear the checkbox to keep the _Project Statements_ and remove only the _Claims_ and _Local Adaptations_ you select.
6. Click **Review Related Records** to see all _Claims_ and _Local Adaptations_ related to the _Project Statements_ you selected.
7. Optional: Expand the **Select Project Statements to remove** section to review your selections and make any necessary changes. If you change your initial selections, Vault hides the related record sections and you must click **Review Related Records** again to view the related record sections.
8. Optional: In the _Select Related Claims to remove_ section, select _Claims_ to remove from this _Project_.
9. Optional: In the _Select Related Local Adaptations to remove_ section, select _Local Adaptations_ to remove from this _Project_.
10. When you've selected all related records to remove from the _Project_, click **Continue**.

When Vault finishes removing the _Statements_, _Claims_, and _Local Adaptations_ you selected, you'll receive an email and a Vault notification. The notification lets you know if removal was successful or if it failed and includes details about which records Vault removed.

### Limitations {#limits}

Each section displays up to 500 records. If there are more than 500 records, Vault does not list any records in that section and instead displays a message stating that there are too many items.

## Project Lifecycle {#lifecycle}

Projects use the _Project_ object lifecycle and include the following standard states:

* _New_: The initial state of the _Project_.
* _In Progress_: _Claims_ within the _Project_ are in various stages of approval.
* _Completed_: All _Claims_ within the _Project_ are approved.

Your Admin may add other custom states to suit your organization's needs.
