# About Unclassified Documents

Vault allows you to quickly upload documents without selecting a document type or entering values for required fields. Unclassified documents are automatically assigned the _Unclassified_ document type, the _Unclassified_ lifecycle, and the _Incomplete_ lifecycle state. Required fields can be left blank when you create unclassified documents.

## Creating Unclassified Documents

You can create unclassified documents by dragging and dropping them directly to your **Document Inbox**, or by uploading them via the **Create** button and selecting **Classify later**. See [Creating Unclassified Documents](/en/lr/68414/) for more information.

## Using the Document Inbox View {#using-the-document-inbox-view}

The **Document Inbox** view is only available in the standard document library tab and shows all unclassified documents to which you have access. These documents also appear in other views, but the **Document Inbox** view must be open in order to select and classify multiple documents at once.

### Classifying & Editing Unclassified Documents

Within the Document Inbox, you can classify unclassified documents and edit document information if you have the [appropriate permissions][1]. You can save these changes even if you have not yet entered all required information.

After classifying a document, if you have not yet entered all required information, the document remains in the Document Inbox in the _Unclassified_ lifecycle and the _Incomplete_ lifecycle state. Once you classify a document and enter all of the information required by its document type, Vault assigns the document the appropriate lifecycle and lifecycle state according to the document type, moves the document out of the Document Inbox, and makes the document available in the Library.

To classify and edit documents in the Document Inbox:

1. Click the document name in the Document Inbox to open the document.
2. Click **Edit** (<i class="far fa-pencil-alt"></i>) in the Doc Info pane.
3. In the _Classify Document_ dialog, select a **Document Type** and click **Save**. Vault saves the document type and opens the _Edit Document Fields_ page.
4. Edit the document information and click **Save**.
    * If the document is missing required fields, a _Document Incomplete_ message is displayed to indicate that the document will remain in the Document Inbox until all remaining required information is provided.
    * If you have entered all required information, a _Document Complete_ message is displayed to indicate that the document has been moved out of the Document Inbox and is now available for use in the Library.

### Bulk Actions

From the **Document Inbox** view, you can select multiple documents and perform actions on them simultaneously. The available options in the **Actions** menu are:

* **Edit**: Opens the _Classify Document_ dialog, where you can apply a single document type to the selected documents. Click **Save** to apply the document type and open the [**Edit Document Fields** page](/en/lr/15445/) where you can populate fields. You must have the [appropriate permissions][1] for these actions.
* **Detect Duplicates**: Checks the selected documents against other documents in the Vault to [determine if they have duplicate files](/en/lr/21893/). When the check is complete, the view shows duplicated documents with a "Duplicates detected" message. Hover over the message to see which documents use identical source files.
* **Delete**: Deletes the selected documents.
* **Disable Bulk Update Fields on Upload**: (Clinical Operations Vaults only) Hides the **Bulk Update Fields** dialog on upload.
* **Enable Bulk Update Fields on Upload**: (Clinical Operations Vaults only) Shows the **Bulk Update Fields** dialog on upload.
* **Add to Cart**: Adds the document to your [Cart](/en/lr/36402/). This option is only available in the [_Grid_](/en/lr/1745/) view of the **Document Inbox**.

### Filtering

The **Document Inbox** view offers a limited set of [filters](/en/lr/1616/) to narrow the list of unclassified documents. The available filters are limited to standard, system-defined document fields like _Created By_ and _File Type_. In Clinical Operations Vaults, you can also filter on _Product_, _Study_, _Study Country_, and _Site_.

### Using the Tabular View

In the **Document Inbox** [Tabular View](/en/lr/1745/), you can select documents using the checkbox on the left or by clicking anywhere in the row.

## Sharing Settings {#sharing-settings}

By default, unclassified documents that you create are only visible to you and Admins with access to all documents. However, Vault automatically assigns these documents to the _Inbox_ lifecycle, which may include default users for document roles. If this is the case in your Vault, the Sharing Settings panel shows the users assigned to roles on the document.

You can [manually reassign](/en/lr/895/#how-to-assign-a-user-role) the Owner role on unclassified documents if you have the _Change Owner_ permission. Once you classify a document, you become the Owner on that document. If another user classifies the document, that user becomes the Owner. When a document is classified, Vault removes users from the sharing settings and adds default users based on the document type and lifecycle. This means the document's initial creator may lose access to the document, depending on your Vault's configuration.

      <p><strong>Note</strong>: Vault ignores permission set and license type restrictions for unclassified documents, but does enforce document role security settings. For example, Teresa’s permission set doesn’t include <em>Document &gt; Download Document</em>. However, she’s in the <em>Viewer</em> role for an unclassified document. The <em>Viewer</em> role includes the document role permission <em>Download Source</em>. Despite her permission set, she would be able to download the source file on her unclassified document.</p>

## Limitations

The following functionality is unavailable on unclassified documents:

* Annotations
* Archive Document
* Check Out
* Create Draft
* Send as Link
* Upload New Version

## Related Permissions {#permissions}

To upload unclassified documents, you must have one of the following permissions or group memberships:

* You have the [_Create Document Permission_](/en/lr/618/#settings-at-all-levels) on the _Unclassified_ (`undefined__v`) document type in **Admin > Configuration > Document Types**.
* You have the [_Always Allow Unclassified_](/en/lr/22824/#Vault_Actions) permission in **Admin > Users & Groups > Permission Sets**. This permission allows you to upload unclassified documents, but does not grant the ability to classify documents or create documents of any document type.
* You are a member of the _Create Unclassified_ user group.

To display the _Classify documents now_ and _Classify documents later_ options on the _Upload Files_ page when uploading a document, you must have the ability to create unclassified documents and at least one other document type.

To classify unclassified documents, you must be in a role with the _Reclassify_ permission on all selected documents. To edit unclassified document fields, you must be in a role with the _Edit Fields_ permission on all selected documents. To classify unclassified documents and edit their fields, you must have both permissions.
